Rent the Dome

The Glastonbury East Hartford Elementary Magnet School Planetarium and facilities are now available to rent for private events and fundraisers. Treat your guests to a full dome show and live night sky presentation. Provide your own music if you'd like. Make use of the facilities for your annual meeting or special recognition event. Host a gathering in the spacious gallery and serve refreshments in the glassed-walled cafeteria.

Services and Facilities
Services provided include:

  1. FullDome Shows
  2. Live night sky presentations
  3. Wireless internet access
  4. Computer projection (PowerPoint, DVD, BlueRay),
  5. Sound system (requester must supply own music in a play list format, preferably on an iOS device or CD). 
  6. Catering services can also be arranged.
Facilities available to rent include the Planetarium Dome, Gallery Hallway, Cafeteria, Tables, Chairs, and a podium. Program materials are chosen to comply with the specific needs or interests of groups to which they are presented. An additional cost may apply for customized programs.

Rental Fees
Rental fees cover labor, planetarium operations, general maintenance, trash removal, replacement supplies and energy costs. A fifty percent deposit is required to reserve private events. Attendance may not exceed 80 people. Unless cancellations are received forty-eight hours before the scheduled event, the deposit will be forfeited. Labor charges for custodial, audio visual technician and kitchen employees, working outside normal hours (Saturdays and summer evenings) will be based upon the current hourly rate. The current rental fees are listed below.

Reservations are accepted beginning May 1 for the following fiscal year (July 1 - June 30) and will be scheduled on a first-come, first-served basis. Reservations should be made 30 days prior to the event to increase the likelihood that the facility will be available. Reservations for more than one year in advance may be accepted on a conditional basis. However, final approval will not be made until the GEHMS, Glastonbury, and East Hartford schools have completed their annual reservations.

Any organization seeking to use the planetarium and associated facilities for an event involving an admission charge or fundraising must qualify as a not-for-profit, tax-exempt organization under Section 501(c)(3) or other relevant sections of the Internal Revenue Code. A copy of the Internal Revenue determiniation letter must be provided to the Glastonbury Public Schools prior to executing the Facilities Rental Agreement.

Student groups planning to use the planetarium must arrange for member(s) of the school staff to be present to supervise the event.  The custodian and planetarium staff members are not supervisors of children or adults.
